Vendors - Closing Purchase Orders and Store Transfers

At times, an open order might show items as being on order that are never going to arrive or you might want to place a new, replacement order. You can expire the original order by closing it from the Orders (Active) tab or Search Orders tab in Order Center.


1. Go to Inventory tab > Orders > Order Center

2. Choose Orders (Active) in the lower left.

3. Using the upper right Vendor dropdown (below), choose your Vendor. Or, click the key icon in the PO Number column header and start typing your PO Number to locate it.

4. In the Lower right corner, click the Close button

This will close your order in that the expiration date on each item line will be set to "yesterday". This means that FieldStack will no longer consider any items to be on order. If the item showed an "On Order" quantity (associated with this order) in item list, the quantity will go away. By expiring the order, FieldStack will also reconsider the items for reorder during the nightly process under the assumption that the items on the closed order will not arrive.


Non-Active orders & Store Transfers


Note: If you cannot locate your vendor order in Orders (Active) it means that all items have been received at least partially. You can also close orders from the Search Orders tab.

Store transfers will not show in the Orders (Active) tab. These can also be closed as needed from the Search Orders tab.


On the Search Orders tab, the Close button appears in the lower left.


Closing Orders From Locations > Store Center


Although it may be rare, at times you may want to go directly to a store's open purchase order list and close them from there.


To do so, begin by navigating to the Locations tab and select Store Center.


This will bring up a list of all the store locations. Select the store you wish to modify by double-clicking its icon.


You will now be presented with a Sales Chart and other forms of report. Select the Open Orders button on the far right.


The popup screen will contain a list of the active POs for that location. All you need to do is highlight the order you wish to close and press the Close Order button. 


The order will then be closed in the same way it would in Order Center. Each item line will be expired.
