How to Edit a Single Item

Editing items in FieldStack is done by buyers and administrators who have the permission levels to edit item details and prices. When not using the bulk editor or bulk loader, an item is edited independently from within the item list.


Bring up the item(s) you wish to edit using the top search box or by using the advanced search on the Inventory tab.
From the item list double-click or right-click and select Edit Item to open the Edit Item form.



Editing the item will bring up the Item Edit screen as pictured below. Some users may not have the ability to edit items and all fields will be read-only.

Information Tab - Key Fields

  • UPC and reference codes - The primary UPC of the item is maintained here. Additional UPCs can be included if the manufacturer changes the UPC. PLU numbers and FieldStack generated GTINs are also maintained here.
  • Product Source Group (Vendor Code) - This sets the item's source path. These vendor codes are mapped to vendors. This is a great way to group together items and be able to move them from vendor to vendor if needed. 
  • Category, Extended Category and Types - These fields are used to group items together for a few reasons, such reporting, pulls and inventory.
  • Start Selling Date - This is the date the item becomes available. A future Start Selling Date will let online customers know that this item won't ship until it is available. This field does not have to be filled.
  • Stop Selling Date - With this set to a past date, the system knows the item is no longer available and will no longer attempt to order it from vendors. The Stop Selling Date will not stop an item from being sellable and will not stop it from transferring from your warehouse if it is available and need exists based on sales.
  • One Way - If your chain does vendor returns but an item is not returnable, click One Way to stop it from populating to vendor returns.
  • Block From Search - If you do not want this item to be visible in store searches or online searches, click this button. This will not stop an item from being sellable if it is on the sales floor. This toggle is primarily meant to block items that do not exist, were recalled, have cease & desist order, or have questionable content. It has negative affects on functions such as Stage all and is meant to be used on items that are not stocked and never will be.
  • Lock Changes Locks most of the descriptive type fields from being overwritten by external data feeds. No data will be overwritten if your organization does not get data imported from Third Party Companies.


Attributes - Key Fields

  • All attributes are maintained on this screen. 
  • Attributes in gray are distinct and tied back to the Information tab details and cannot be edited here.
  • Types and Attributes are part of an intentionally managed map used to group and filter items within, among, and across product variants. These fields denote the attribute details for the item.
  • Attributes can include product details such as Color, Size, or Ingredients.
  • Some attributes act as filters online for customer sorting, some act as pivots so a customer can chosoe between colors (for example.)
  • Some attributes act as triggers for things like egift cards, frozen food delivery surcharges, or online display details.
  • Add & Edit - Here attributes can be added/edited on a per item level.  More information regarding attributes can be found in this article, Product Variants & Attribute Type/Value - Initial Setup



Web Details - Key Fields

  • External Search Terms - If there are words that people use to find this item that may not be in the Item Name or Title, you can enter them here.
  • Embargo Date - If this item cannot de displayed online until a specified date, this toggle can be clicked and a date can be entered.
  • Web Description - This is your internal description won't be overwritten by external data feeds. This is where you would include "We Love this Item!" or embed your YouTube product review video.
  • Manufacturer Description - This is the copy provided by the Manufacturer. Generally it's not advisable to edit this as external data feeds that have HTML descriptions will be populated here.  If your organization does not receive Third Party product information, this should not be a concern.
  • Item Restrictions - Set web purchasing quantity limits by item, customer and cart. Click the toggle to allow quantities to be included. 

Additional Details - Key Fields

  • In Box Item Quantity - If you must order by the case, this is the case quantity. If this field is filled with a number, the system will order in multiples of that number from your primary vendor.  Transfers from a warehouse will also trigger to transfer based on quantities of this number.

Vendor Case Size can differ from this number and be vendor-specific. To edit the Case Size of a specific vendor, do that from the Buying Tab below any item (pictured below) in Item List by clicking on the Edit button while the vendor is showing in the dropdown. This info will override In Box Item Quantity for this item on vendor orders.

If you would like to order in quantities of one number and transfer in quantities of another, set the vendor Case Size to the vendor ordering quantity and the In Box Item Quantity to the number you wish to transfer from your warehouse.

  • Is Box Type - If you order cases by the case, then check this. When placing vendor orders which this checked, it will send "1" and expect a full cased to be delivered.  If you order the item as an "Each", then leave this unchecked.
  • Price Label Type - Choose None if you don't label this item individually upon receiving it. Choose Shelf Talker to get a single label. If output on Shelf Taker is not what is preferred, it may need to be formatted for your chain.
  • Filing Location - For some clients, this is the location where this item is located in the warehouse
  • Taxable - If you need to make the item Taxable or Non-taxable, click Unlock Panel in the lower right-hand corner and uncheck Taxable to make this ring up at the Point of Sale without tax.
