Quantity on Hand - Basics in the POS

Item Search in POS

When reviewing the inventory levels of items from within a store, the POS search will show the inventory on hand for the location that searched the item. This is generally the default view in stores using FieldStack. It is possible to see the total inventory for all stores or a group of stores by changing the store group at the bottom of the application. It is also possible to show the inventory on hand for your store in the top pane, while still showing the inventory in each other location in the lower right. This is controlled by store groups.


To access: Search for the item in question using the Barcode/Search filed in the upper right of the POS.


Search Results:


If the application is only looking at your location, the number shown is the quantity on hand for your store.  If the item is available it will show in green and, for accessibility, it will also be underlined. As the above products are in stock, they will show this way in the item list.


It is possible for an item with no inventory in your store to show as zero but also be green and underlined. This would mean that the item is available in another store, a warehouse, or that a reporting vendor has the item in stock (vendor reports are not common.)



Availability


The availability of the displayed quantity on hand displays in the lower right. Below, the line item itself shows 46 in stock. The Details in the lower right show that there are 46 on hand and 41 available. This means that 5 units are on hold, are special orders that have arrived, or appear on uncompleted marketplace picklists, or transfers destined for another location.

Regardless of the primary quantity on hand, if the parentheses shows (0) you would know they were not available for purchase.

 


If the displayed stock is difficult to locate, click Item History to see sales, receive an send transactions. This may give additional info that could help locate the item.


If the inventory displayed is verified to be incorrect, the stock level can be fixed by using Send Mode (decrease inventory) or Receive Mode (increase inventory.) Depending on policy and permissions, this might need to be done by a manager.


If the inventory shown is in negative, that item's physical stock should be verified and the quantity should be fixed.


If the "available" is showing as a negative - example: "1(-2)" - this means there are more units called for than there is stock. For example, a marketplace picklist may have been generated but stock sold or was decreased after the picklist was printed but before the item could be picked. Negative available could also mean there is an active customer Hold in place that was not completed/cancelled when the customer purchased the item.


If it is necessary to see the quantity on hand for some or all locations, change the store or store group from the Store selector in the bottom ribbon. Resulting searches done after saving will display the quantities for all stores included.
