Scheduler: Creating and Editing the Schedule

Find The Scheduler


1. Store Managers

  • Navigate to the Scheduler by going to the Retail tab.
  • From there, click the Timeclock button, and select Scheduler.
  • Store Managers can only create a schedule for their store, with the employees specifically from that store. 


2. Office Administrators

  • Navigate to the Locations tab, and select the Employee Scheduler.
  • Office Administrators can create a schedule for any store. 


How to Navigate Between Weeks

  • You can use the Start Date dropdown to select which week you'd like to view. Whichever date you pick will change the grid to the week that day is in.
  • The "Go To Current Week" button always returns you to this week.
  • The "Previous Week" button will take you to the week before the week you're currently looking at.
  • The "Next Week" button will take you to the week after the week you're currently looking at.

Shifts

How to Add a Shift

  • Double-click on an empty cell to pop the dialog. The column of the cell you clicked decides the date of the shift.
    • Alternatively, navigate to the cell using the keyboard and hit the spacebar or press the button at the top of the form.
  • The default value for a shift is 8:00 AM to 5:00 PM, which you can adjust accordingly to reflect the shift you'd like to create.
  • Select an employee from the drop-down list or begin typing the employee's name and the name will auto-fill. You can leave the shift unassigned (if you want to assign an employee later).
  • Hit save or press enter.


How to Add an Unpaid Break

  • Double-click on the cell containing the shift you'd like to edit to pop the dialog.
    • Alternatively, navigate to the cell using the keyboard and hit spacebar or press the button at the top of the form.
  • Find the Unpaid Break field and enter the appropriate amount of time for a break. 
  • Hit save or press enter. The Scheduler will adjust the shift for you, and you will see the adjusted time in the shift cell. 


How to Edit a Shift The Edit Shift Dialogue

  • Double-click on the cell containing the shift you'd like to edit to pop the dialog.
    • Alternatively, navigate to the cell using the keyboard and hit spacebar or press the button at the top of the form.
  • Adjust the times or change the employee as needed.
    • The date can't be adjusted from this dialog. If you'd like to change the date, make a new shift instead.
  • Hit save or press enter. 



How to Delete a Shift

  • Select a shift by clicking it once or navigating to it using the arrow keys or tab.
  • Click the delete button at the top of the form or press the delete key.
  • Confirm that you want to delete the shift shown.


How to Clear All the Shifts in a Week

  • Click the "Clear Week" button at the top of the form.
  • Confirm your decision to clear the week via the dialog.

How to Copy a Week to a Different Date

  • Click the "Copy Week" button at the top of the form.
  • Select the week you'd like to copy to using the date picker. Whichever date you pick will copy to the week that date falls in.
    • Invalid dates: no date, dates before the current week, and the same week you're trying to copy.
  • The "Include Names" checkbox is optional. If checked, the shifts will be copied with employee names; if unchecked, the shifts will not have employees assigned.
  • Click copy or press enter.



Emailing the Schedule

How to Email The Schedule

  • Press the "Email All" button at the bottom-left of the form.
  • Confirm your decision using the dialog.
  • This will email every employee in the store using their employee emails.
    • If an employee has a personal email registered to their FieldStack employee account, they will also receive an email there.
