How to Create and Edit a Promotion

Promotions are used for managing sale pricing, in-store positioning, and value-added giveaways. They are created and edited under Promotion Management, which is found under the Inventory Tab > Vendors > Promotion Management.

The left side of the screen shows a list of promotions. Active promotions are green, and inactive promotions are white. To see completed promotions, click “View Completed Promotions” at the bottom of the list. 


The rest of the screen shows more information about the currently selected promotion, such as whether it’s active or completed, and which items or coupons are in the promotion. There are buttons on the right for editing the promotion, adding coupons, and adding items to the promotion.

How to Create a Promotion

To create a new promotion, click the New Promotion button at the bottom left of the Promotion Management screen. An empty Edit Promotion window will appear.

Here you can see and edit the promotion information:

 

FieldDescription
TitleThe name of the promotion
Promotion IDThe ID number assigned to the promotion (automatically generated)
NotesAny useful information about the promotion for internal use, such as updates on the status of the promotion or inventory
ProposedThe date when the promotion was first proposed (optional)
AgreedThe date when the promotion was agreed upon (optional)
AuthorizedThe date when the promotion was officially authorized (optional)
ActiveCheck this to put the promotion into effect
Note: this MUST be checked for the promotion to work. Setting a current date for the promotion items won't automatically trigger the promotion to run.
CompleteCheck this to mark as complete and remove the promotion from the active promo list
Oldest PP End DateShows any promotion item whose promotion end date is greater than the date in this field

 

  

Once you have added all the necessary settings, click "OK" to continue. 

 

How to Edit a Promotion / Edit Items in a Promotion

To edit a promotion or the items it contains, click the Edit Promotion button on the right of the screen. Here you can mark a promotion as Active or Complete and update its information.

The bottom portion of the Edit Promotion window shows the items in the promotion. Here you can edit their Start and End dates, Sale Price, Pop-up message, and Position (all other fields cannot be edited). 


To completely remove items from the promotion, check their checkbox box on the far right and click “OK”.

Once you have updated any settings, click “OK” to apply the changes. To learn more, read How to Add Items to a Promotion.


How to Start / End a Promotion

For a promotion to apply, the Active checkbox must be checked and the transaction must fall between the item's promotion Start and End Dates (these can be updated by editing the promotion)


To make the promotion no longer apply, uncheck the Active checkbox.  To move the promotion to the completed list, check the Completed checkbox.

The promotion can be reactivated at any time by viewing completed promotions, editing the promotion, and marking it as active and not complete.
